HOWJ SWIM MEET

VOLUNTEER POSITION DESCRIPTIONS

**All volunteers must check in by 5:30pm unless noted otherwise**

Clerk of Course: Responsible for organizing swimmers according to the Line-Up sheets in the holding area inside the pool. Please bring a copy of the heat sheet.

Asst. Clerk of Course (on pool deck): Assists the Clerk of Course in lining up swimmers. Please bring a copy of the heat sheet.

Stroke &Turn Judge: Responsible for watching for illegal strokes, kicks, or touches. Must have competitive swimming experience and/or be willing to review Stroke and Turn Youtube videos. Meet at baby pool at 5:30pm for a 5 min meeting at home meets.

Volunteer Check-In: Must be at pool at 4:30pm for all meets. Sign-in volunteers at beginning of meet, and give them their name tag (write their name on tag for them). Advise meet set-up volunteers of duties based-off provided check list.

Concessions: Sell chips, drinks, and candy from inside of clubhouse, and collect money for concessions. Includes set-up before and cleanup of clubhouse at end of the meet. 1st half volunteers need to arrive by 4:30pm for set up before the meet. 2nd half volunteers need to arrive after event # 35 and will be responsible for cleanup.

Ice & Pretzel Runner: Responsible for purchasing 10 LARGE bags of ice (you will be reimbursed) and soft pretzel order from Philly Pretzels near Sports Connection. Pretzel pick up is scheduled at 4:30 and then deliver to the clubhouse by 4:45pm on meet days.

Ribbons: Report to clubhouse by event # 50 to count out estimated ribbons needed to send home with the away team. At the end of the meet, collect ribbons and labels to take home and apply labels to the backs of the ribbons. Drop them off to our Ribbon Coordinator in Hunter Oaks within 2 days of the swim meet.

Head Timer:Acts as a backup timer for any lane that has problems during the race. Liaison between timers and starter.

Timer: Two timers per lane. Will attend quick timer meeting prior to meet, usually around 5:40pm, at the baby pool. Please arrive no later than 5:30pm to check in before timers meeting. Both timers will time the race, and one timer will be responsible for recording the time. Please follow these instructions when timing:

1. Pay attention to the start, and press button on watch when you hear the starting sound.

2. Look over the edge of the end of lane when the swimmer comes in and press stop button when you see them touch.

3. Write down the time or have your partner do it.

4. After time is written down, clear watch and let the head timer know you are ready.

5. If you forget to press start, please raise hand and head timer will give you a backup watch.

** 2nd Half Timers will need to report to duty after event # 35.

App Advancer: You will be given admin access in the Swimtopia app. You will advance the app to keep up with what race/heat we are on during the swim meet. You can do this from anywhere on the pool deck. You MUST have the app downloaded on your phone in order to do this task.

Floater: This is a roll of the dice. You may have nothing to do, or you may be asked to be the clerk of course! Please make sure you understand all volunteer roles. Please check in with the volunteer coordinator and make yourself readily available during the meet.

Rubber Ducky Distributor: Hand out rubber ducky and heat winner ribbon to heat winner of each race for shrimpers (6 and under) and 7/8s only. Remind kids to turn duckies in (not keep them) at the concession stand for a treat.

Sheet Runner: Brings lane timer sheets to the scorekeepers following races.

Clean-up: Picks up pool deck and returns chairs, tables, flags, etc. to their normal locations after meet is complete.

Meet Set-up: Report at 4:30pm. Work with pool staff to set up pool deck for meet. Includes heavy lifting. (No children can be brought with you). See set-up sheet for instructions.

Sign Installer: Set out “food truck” signs at each Hunter Oaks entrance the morning of the swim meet and remove them no later than the next morning. Signs will be picked up from a Board members house. **When placing the signs at the HO entrances, please DO NOT put the signs in the grass. Carefully place the signs in the flowers beds so the landscapers don’t have to move while mowing.**
